Project Support Specialist

Project Support Specialist

Your role:


You will be responsible for key tasks essential to support the PM team. You will support/manage internal projects of work such as internal testing and management of the clients who perform BioRepository storage. You will be responsible for application, monitoring, renewals and maintenance of various permits and licenses for controlled substances and shipping permits.  You will coordinate the documentation required to ensure successful shipping of client samples. You ensure clients receive the appropriate notifications of change controls and Technical Specification revisions.  You will provide administrative assistance to the PMs in support of study readiness.  You will support preparation of metrics for internal and client facing activities. You will provide import and export support to Project Management (PM) team. You will provide language and translation support where needed.  You will support Customer Excellence collections team in the resolution of client queries on invoices.


Scope of Responsibility:


Project Management support:


  • Tracking, applying, and maintaining permit and GMO requirements in order to achieve prompt, smooth transfer of shipments both to and from BioReliance and client sites.
  • Create iNet templates as needed and assist clients in completing the iNet submission.
  • Manage a database of permits and maintain active state for ALL permits to support the business.
  • Maintain records and track status of documents such as GMO and cell culture forms required for sample shipment to BioReliance UK/US sites and study initiation.
  • Works to relevant regulatory practices i.e. GLP/GMP
  • Track and maintain PM Metrics for identified clients at the agreed time periods.
  • Run key admin reports to support the PM huddle meetings.
  • Track and maintain internal KPI tracker for PM team.
  • Communicate Event and Change Control notifications to clients as required.
  • Maintain data base(s) for protocol revision notification to clients. 
  • Provide protocol revision notifications to clients as required.
  • Coordinate BioRepository storage for clients as required.
  • Provide support to Project/Program Manager on larger projects.
  • Assist PM with administrative tasks as required, such as LIMS information update and BRIQS C2C information update.
  • Support client meetings and conference calls as required.
  • Provide support to organize documents notarization for client.
  • Provide support to proposal/reports translation.

Sample logistics support

  • Support samples import and export to BioReliance UK/US/Singapore sites.
  • Help to complete custom clearance within standard lead time request and make sure can be delivered in standard term of delivery to warehouse.
  • Coordinate and communicate with Customs/CIQ/forwarders/brokers on shipment arrangement and solve the issues that may happen in the process of customs clearance.
  • Be familiar with various import and export policies, timely grasp various customs, new inspection and quarantine policies, and provide timely training and guidance to customers for difficult import and export issues.
  • Tracks and evaluates Customs regulations changed for operation impact. Provides information and solution internally to help make business decisions.
  • Communicate to local service team and make sure the information can be conveyed to customers effectively and transparently.

Payment and invoices support

  • Enter and manage the billing rep information. Work with clients to ensure that their billing information is correct at the time of onboarding and for clients who have already been onboarded check regularly ensure that billing master data is still correct.
  • Liaise with PM, CEX and Finance and utilize Oracle and other systems to respond to client enquiries and requests on invoices.
  • Prepare supporting documents such as local language cover letters where required as supplemental information to contracts and invoices.
  • Understand the payment process from China to abroad and help clients to make payments to UK/US/Singapore.


Qualifications and Experience

  • 1-3 years of client facing experience.
  • 1-3 years’ experience in a job where good verbal and written communication skills were required.
  • Basic skills in applicable computer programs, specifically Microsoft Excel
  • Good information management skills
  • Good communication with complex information and priorities
  • Ability to exercise good judgment


Knowledge and skills:


  • A proactive approach to all aspects of customer service.
  • Effective use of Microsoft Word and Microsoft Excel.
