Summary: As part of the overall strategy to drive quality-based, cost-efficient, and timely service delivery, this role will be part of the MBS Employee Services organization based in India. The successful candidate will be responsible for providing tactical and operational HR support for Bangalore Hub. This role will report to the Head of Employee Services overseeing Tier 2 HR functions such as case management and customer inquiry handling, data management, personnel administration, organization management, reporting and vendor management.

 

Responsibilities: Provide administrative and operational support on defined HR functionalities anchored on KPIs and SLAs focused on quality, timeliness, and responsiveness. Proactively collaborate with the country and regional stakeholders in the execution of HR services Recruitment and Onboarding Administration:

• Manage the administration of hires, including temporary employment and internships.

• Coordinate contracting and creation of employee records in systems.

• Liaise with relevant departments for data transactions and clarify work permits and social insurance requirements.

• Arrange onboarding activities and coordinate with IT for email, user accounts, laptops, and other equipment. • Monitor HR data, vendor ID creation, and manage local medical checks and background checks.

• Set up new hires in payroll systems, bank accounts, and file all hire paperwork. Verification of Employment and Letter Creation:

• Conduct verification of employment processes and generate employment letters as needed. Invoice and PO Management:

• Administer invoices and manage purchase orders for various services.

• Process invoices in SAP, update payment trackers, and communicate with vendors regarding payment.

• Coordinate with trainers for invoice splitting and ensure compliance with procurement guidelines.

• Validate invoices against contractual terms and resolve discrepancies.

 

General Administration:

• Handle position changes, compensation adjustments, and end-of-employment processes.

• Manage personal data changes, direct placements, and awards distribution.

• Prepare letters, validate CRC, and handle reorganization requests.

• Support GLocal activities and address any other requests within the recruitment and onboarding scope.

 

Candidate Services:

• Schedule interviews, manage employee referrals, and assist in talent sourcing activities.

• Facilitate the creation of employment and internship certificates and issue company IDs. Learning and Development Support:

• Assist in course creation and testing in HR4You Learning platform.

• Coordinate content updates and draft surveys for training evaluation.

• Generate reports on training needs assessment outcomes and manage learning catalogues.

• Coordinate enablement sessions for managers and employees, handle communication, and coordinate with vendors for training logistics.

• Manage completion tagging, evaluation questionnaires, and respond to inquiries related to learning programs.

 

Qualifications:

• Bachelor’s degree in human resources, Business Administration, or related field (Master's degree preferred).

• Minimum of 4 years of experience in HR management or a related field.

• Proven experience in developing and executing successful HR projects.

• Strong understanding of HR principles, practices, and employment law.

• Proficiency in project management methodologies (e.g., PMP, Agile). • Excellent organizational, communication, and interpersonal skills.

• Ability to manage multiple priorities and work effectively in a fast-paced environment.

• Strong analytical and problem-solving skills.

• Proficient in MS Office Suite (Word, Excel, PowerPoint). HRIS experience a plus.

• Actively partner and work with the Manager to achieve the agreed-upon performance and developmental objectives.

• Seek opportunities for continuous improvement and work on constructive feedback

• Identify any knowledge gaps and escalate concerns to the Manager.

• Ensure that customer expectation are addressed professionally, effectively, and efficiently.

• Demonstrate flexibility and adaptability to work schedule requirements and operation hours in order to fulfill real-time business requirements.

• Understanding and compliance with confidentiality requirements to perform HR activities due to the sensitive nature of the work, such as personnel data and sensitive information.
