Senior Analyst-Webinar Operations

Your Role

  • Calendar and scheduling: Maintain the master webinar calendar; schedule planning meetings, rehearsals, and live sessions; send invites and reminders.
  • Intake and documentation: Collect requirements via standardized forms (objectives, speakers, assets, approvals); document agendas, notes, action items, and follow-ups.
  • Template-based build: Create registration pages and emails using approved templates within the webinar platform; apply brand and accessibility checks; generate and maintain UTM tracking links.
  • Content and asset readiness: Gather slides, bios, headshot and checklist; ensure files are final and approvals documented; run device/browser checks and escalate defects.
  • Promotion: Route promotional materials (email, social, web listings) for review/approval; coordinate with marketing for publish dates; monitor basic deliverability indicators and flag issues.
  • Live-day support: Assist moderators and SMEs with any platform related issues, starting/stopping recordings, and escalating technical issues to platform support/IT; monitor accessibility features and brand consistency.
  • Post-event tasks: Publish on-demand experiences; schedule follow-up emails via templates; export attendance/engagement reports; validate data and update trackers/dashboards; archive assets; update playbooks/checklists with lessons learned.
  • Data hygiene and systems: Perform basic data validation and support CRM/MA syncs under guidance (e.g., Salesforce/SFMC/ON24); follow consent and privacy procedures; handle only approved data fields.
  • Administrative support: Maintain user access lists, assist with license tracking, POs/invoices, and vendor coordination as needed; keep SOPs, templates, and runbooks current.

 

 

Who you are

  • Bachelor’s degree (BA or BS) in Marketing, Communications, Business, or a related discipline.
  • 3+ years of experience in digital marketing roles, specifically webinar management and operations (events, marketing, or communications preferred).
  • Familiarity with webinar platforms (ON24) and basic CRM/marketing automation workflows (SFMC).
  • Proficiency with Microsoft 365 (Outlook, Excel/Sheets, PowerPoint, SharePoint/OneDrive); basic analytics using platform dashboards.
  • Clear written and verbal communication; service-oriented and proactive; strong attention to detail and checklist discipline.
  • Working knowledge of HTML/CSS for landing pages/emails is a plus
  • Ability to work independently and take ownership of projects from start to finish.
