Your Role
Export and Import Operations Management:

  • Effectively export and import operations, ensuring compliance with procedures.

  • Maintain up-to-date information on import-export tariffs, licenses, restrictions, and export-import regulations for air and ocean freight, specifically for the Chemicals and Pharmaceuticals divisions.
  • Maintain up-to-date information about shipment in shipment tracking
  • Monitor and analyze operational performance metrics to identify areas for improvement in efficiency and compliance.
  • Implement best practices for cost-effective logistics and supply chain management.
  • Monitoring timely payment to our vendors (customs brokerage, forwarders)

Documentation Handling:

  • Ensure familiarity with essential export-import documentation, including Invoices, Packing Lists, Certificates of Origin, Bill of Lading (BL), Export Declaration (PEB), Import Declaration (PIB), Electronic Data Interchange (EDI)
  • Review and verify documentation for accuracy, completeness, and compliance with regulations before submission.
  • Coordinate with internal departments to gather necessary information for documentation preparation.
  • Ensure that all export and import – and import-related documentation is properly stored

Relationship Management:

  • Cultivate and maintain strong relationships with: Freight Forwarders, Airlines, and Shipping Lines
  • Engage with various stakeholders to facilitate smooth operations and address any logistical challenges.
  • Negotiate contracts and service agreements with logistics providers to ensure favorable terms and conditions.
  • Act as a liaison between the company and customs authorities to expedite clearance processes.

Regulatory Compliance:

  • Stay informed about changes in international trade regulations and customs laws that may impact operations.
  • Conduct regular audits of processes and documentation to ensure compliance with local and international regulations.
  • Provide training and guidance to team members on compliance requirements and best practices.

Problem Solving and Risk Management:

  • Identify potential risks in the supply chain and develop mitigation strategies.
  • Address and resolve any issues related to shipments, customs clearance, or documentation promptly.
  • Conduct root cause analysis for any operational disruptions and implement corrective actions.

Reporting and Analysis:

  • Prepare regular reports on export-import activities, including performance metrics and compliance status.
  • Analyze data related to shipping costs, transit times, and customs duties to inform decision-making.
  • Present findings and recommendations to management for continuous improvement initiatives.

 

Who You Are

  • Bachelor’s degree in chemistry, Pharmacy, Industrial Technology, Logistics, Business Administration, or a related field.
  • At least 2-3 years of proven experience in customs clearance processes will advantage.
  • Familiarity with the Freight Forwarding industry and export-import management in Pharmaceutical, Chemical, or Logistics companies.
  • Proficiency in handling export-import documentation and understanding of logistics operations.
  • Strong analytical and problem-solving skills to address logistical challenges. Excellent communication and interpersonal skills to build relationships with stakeholders.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Proficient in English, both written and verbal (Intermediate level or higher).
