Your Role:

This role resides within Life Science Services (known to clients as BioReliance Contract Testing Services) in the Life Science division. The Project Support Manager role is within the Commercial Project Management department and is responsible for performing client-facing and administrative tasks essential to support incoming business from clients and the Commercial team (i.e., Project Management, Account Management, Orders Management). The remit of this role includes project onboarding of clients in the region, language and translation support where needed, and support of the Customer Excellence (Collections teams) in resolving client invoice queries.

 

Project Management support:

  • Track, apply, and maintain permits and risk assessments (including GMO) for smooth transfer of shipments to and from BioReliance and client sites.
  • Familiarize and train clients in the proper use of the general iNET system operation.
  • Create iNet templates as needed and assist clients in completing the iNet submission.
  • Manage a database of permits and maintain active status for all permits to support the business, especially for the BioReliance Singapore site.
  • Work to relevant regulatory practices (i.e., GLP/GMP) where applicable.
  • Run key admin reports to support the Director/Manager of Project Management where necessary (e.g., Monthly Order Booking Tracker).
  • Send Change Control notifications to clients if required.
  • Coordinate Biorepository management for clients as needed.
  • Provide support to Project/Program Manager (PM) on larger projects.
  • Assist PM with administrative tasks as required, such as LIMS (Laboratory Information Management System) information updates and BRIQS (which is communication tool with clients) C2C information updates.
  • Support client meetings and conference calls as required.
  • Provide support to organize document notarization for clients.
  • Provide support for proposal/report generation and translation (if applicable).
  • Backup fellow Project Support Manager’s territories during festivities and vacation periods.

 

Sample logistics support:

  • Support sample import and export to BioReliance UK/US/Singapore sites where applicable.
  • Coordinate and communicate with Customs/CIQ/forwarders/brokers on shipment arrangements and resolve issues that may arise during customs clearance.
  • Understand trade compliance, support the preparation of shipping documentation, and communicate with customers and relevant parties to ensure smooth transitions from contract signature to sample arrival at the test site.

 

Payment and invoices support:

  • Enter and manage billing representative information. Work with clients to ensure their billing information is correct at onboarding and regularly check for accuracy for existing clients.
  • Prepare supporting documents such as local language cover letters (where applicable) as supplemental information to contracts and invoices.
  • Provide administrative support, including understanding the payment process to assist clients with payments.
  • Collaborate with various stakeholders (OM, PM, AM, and Collections team) to resolve client invoice queries/issues (i.e., overdue invoices) and ensure a healthy order-to-cash cycle with a focus on reducing aged receivables.
  • Support the Sales team in applying for new or revised client credit ratings and update SFDC accordingly.

 

Who You Are:

  • Bachelor’s degree or more
  • Industry: life sciences sector, specifically within biotech and pharmaceutical industries
  • 1-3 years of client-facing experience (must have)
  • Strong verbal and written communication skills
  • Basic skills in applicable computer programs (Microsoft Word, Microsoft Excel, Microsoft Teams)
  • Good information management skills
  • Ability to exercise good judgment.
  • A proactive approach to all aspects of customer service
  • Effective and collaborative team player
  • Strong ownership of client programs/projects, along with project management and account management skills
  • Experience with database maintenance.
  • Good documentation practices
  • Fluent language competency indigenous to the country of employment and English
