Title: Logistics Specialist I, Logistics Support Function

Report To: Logistics Support Manager

Introduction

The life science products handled by we are produced in various locations around the world, and their range is diverse. Additionally, products procured from domestic suppliers are supplied to production sites globally. In a rapidly changing environment, it is essential to strengthen the logistics system, particularly import and export operations, to deliver products and components reliably, safely, and efficiently. To continue implementing optimal approaches to increasingly complex Global Trade, we are seeking individuals with experience in import and export operations or international transport arrangements, or those with strengths in customer support or Trade Compliance. A significant attraction of this role is the dynamic and fast-paced business environment, where you can engage directly with business units and internal stakeholders and closely align with business strategies as needed.

Key Accountabilities

Import and Export Operations

  • Schedule management of import and export items, sharing with internal stakeholders (Import: 70% / Export: 30%)
  • Collaboration and management with international transport providers and customs brokers
  • Creation, checking, and overall management of trade documents related to import and export customs
  • Appropriate customs and transport instructions to international transport providers and customs brokers
  • Coordination of delivery schedules with the Distribution Center (DC) / management of incoming schedules
  • Monitoring and management of transport provider performance based on KPIs
  • Management of HS code, FTA preferential tax treatment application status, and promotion
  • Creation of hazardous material transport documents
  • Compliance with laws and regulations related to import and export
  • Confirming with authorities regarding import and export laws as necessary
  • Export permit and approval application work with the Ministry of Economy, Trade and Industry
  • Sharing of legal amendment information with the team and internal stakeholders
  • Price and delivery negotiations with domestic manufacturers for export procurement items (responsibilities may vary based on experience)
  • Daily/weekly/monthly reporting related to the above tasks

Customer Support and Communication with Internal and External Stakeholders

  • Promptly respond to internal customer requests and coordinate to resolve customer issues
  • Lead coordination with related internal departments
  • Accurately, precisely, and promptly understand the needs of stakeholders and respond by deadlines
  • Maintain and continue good relationships through daily communication with partner companies
  • Provide necessary information timely and appropriately
  • Timely responses to inquiries from partner companies
  • Appropriate instructions in compliance with import and export-related laws

Communication with Internal Related Departments

  • Coordination with internal related departments (Regulated Affairs, CS, Sales, SC, QA, Distribution)
  • Responding to inquiries from overseas departments
  • Coordination with import and export and logistics personnel in various countries

Continuous Improvement

  • Business improvement (review of business processes, utilization of IT tools, etc.)
  • Planning and execution of logistics improvement measures (cost, quality, environment, etc.)
  • Participation in global leading projects (based on experience)

Education

  • High school diploma or higher (may vary depending on work experience)

Qualifications

  • More than 3 years of experience in trade operations
  • Experience in import and export operations at a shipper or international logistics company (experience at logistics companies only is acceptable)
  • Experience in the import and export of chemicals is preferable
  • Especially welcome those with experience in managing and operating FTA and import/export laws
  • Comfortable with overseas cultures and interactions, and no aversion to English
  • No resistance to using SAP or other business systems, as well as macro tools
  • Experience using SAP is preferable
  • Particularly welcome those who can code in macros or Power BI, not just use them as users
  • Experience in some form of improvement in work (business improvement, logistics improvement, etc.)

  • Ability to work autonomously and proactively
  • Drive business initiatives with a sense of ownership rather than waiting for instructions from superiors
  • Actively engage in new tasks and learn necessary knowledge and skills
  • Daily communication skills to build and maintain good relationships with colleagues, related departments, and external partners
  • Japanese: Native / English: Intermediate (TOEIC score of 650 or higher)
  • Acceptable even if currently below the TOEIC score as long as there is a willingness to improve English proficiency after joining
  • Must have no resistance to understanding English documents and communicating via email in English
  • Trade-related qualifications such as customs broker, trade practical certification, IATA diploma are welcomed
  • IT literacy
  • MS Office software: Business intermediate level
  • Basic functions and Pivot Table skills in Excel are essential
  • A proactive attitude toward learning about the latest IT tools like Power BI and CHAT GPT (as they are being promoted for use in business)
  • Experience using ERP like SAP is preferable

Primary Work Location:

 Azabudai Hills Headquarters (Nearest stations: Kamiyacho, Roppongi Ichome)

It is possible to work in a pattern that combines remote work (1-2 days of remote work per week)

Business travel: As necessary (approximately once a month to company DC / Chiba and Kanagawa Prefectures)

メルクで取り扱っているライフサイエンス関連商品は、世界各地で生産されておりその商品数は多種多様となります。また国内サプライヤーから調達した商品を、世界各地の生産拠点に供給しています。目まぐるしく環境が変化する中、確実に、安全に、効率良く、製品や部品を届けるために、ロジスティクス体制の、とりわけ輸出入業務の強化が必要となっています。より複雑化しているGlobal Tradeに対しての最適アプローチを継続実施するため、輸出入業務や国際輸送手配の経験者、もしくはカスタマーサポートやTrade Complianceを軸に強みのある方を新たに募集いたします。事業部門や社内のステークホルダーと直接コミュニケーションをとりながら、そして必要に応じて事業戦略に密接に関わりながら業務を進めるビジネスのダイナミズムやスピード感をより実感できることが大きな魅力です。

Qualifications

  • 貿易業務経験 3年以上
    • 荷主若しくは国際物流事業会社での輸出入業務経験(物流事業会社のみの経験も可)
    • 化学品の輸出入経験があれば尚可
    • FTAや輸出入法令の管理、運用経験者は特に歓迎
  • 海外文化や海外とのやりとりに抵抗感がない方、英語へのアレルギーがない方
  • SAPやその他業務システム、及びマクロツールを使用した業務に抵抗がない方
    • SAP使用経験を有していれば尚可
    • マクロやPower BIをユーザーとしてだけではなく、自らコーディングできる方は特に歓迎
  • 業務の中で何らかの改善経験を有する方(業務改善、物流改善等)
