This role can be done in hybrid working model, 3 days from the office in Warsaw, 2 days remote.

Your Role: 

The Head of Project Management Support Office is responsible for leading, developing, and managing a team of Project Management Assistants (PMA) who support the Clinical Trial Leads (CTL) in global clinical development studies. The PMSO ensures consistent high quality administrative support in managing study meetings, project timelines, study budget study trial documents and study oversight activities. You will lead, coach, and develop a global team of PMAs supporting clinical trials across all phases (Ph I- IV)., oversee hiring, onboarding, and resource planning. Ensure strong team performance by assigning work, setting expectations, and monitoring progress, quality, and delivery timelines. Oversee PMA execution of core study support activities such as meeting coordination and minutes, project timelines, CTMS updates, budget support, vendor and team lists, payments, TMF filing, and CTIS notifications. Including: ensuring high quality, consistency, and compliance across all PMA deliverables. Define and maintain standards, workflows, templates, and checklists for PMA activities. Drive inspection readiness for PMA‑related processes and support audit preparation. You will define and track KPIs/SLAs (e.g., cycle times, quality metrics, TMF completeness) for PMA and service providers activities. Act as BPO/SME for operational processes, contributing to SOPs, WIs, training materials, and tools. Serve as Business Lead for CTMS and associated service providers (e.g., Translations, Meeting Planner). Ensure all PMA‑related activities comply with regulations, guidelines, and internal SOPs.

 

Who you are:

  • At least 8 years of experience in clinical operations or clinical trial management (CRO or Biopharma), proven experience leading or mentoring teams.
  • Strong knowledge of GCP, ICH, and end‑to‑end clinical study processes.
  • Experience working effectively in matrix, multicultural teams.
  • Bachelor’s degree in Life Sciences, Pharmacy, Nursing, or a related field required
  • Ability to build a positive team culture and support staff well‑being.
  • Advanced skills in CTMS, TMF, Project Timeline, and study budget management.
  • Experience preparing for and participating in regulatory inspections, continuous improvement orientation; ability to lead change.
  • Willingness to travel up to 20% of the time.
